ENGINE Student Data Upload/Download Instructions

To Upload/Download the ENGINE Student Data, Follow These Steps:

1) Set/Reset Your UF Gatorlink Password

  • Locate your UFID. If you are unable to locate this, please contact Krista Smith via email (kristasmith@eng.ufl.edu).
    • New ENGINE contacts will receive a UFID (UF Identification Number) via email from Krista Smith.
    • Returning ENGINE contacts should use the UFID previously provided via email.
  • Contact the UF IT Helpdesk by calling 352-392-4357 and providing them your UFID. The IT Helpdesk will email you a verification code to reset your password.
  • Go to http://login.ufl.edu/ and enter the verification code to reset your password.

2): Enroll In Two-Factor Authentication & Download the UF VPN (New ENGINE contacts only)

If you are not familiar with VPN (Virtual Private Network) & Two Factor Authentication, we recommend requesting assistance from your university IT staff before proceeding to this step.
  • Enroll in Two-Factor Authentication – See additional attached PDF for instructions and be sure to select “UF GATORLINK ENROLL” when signing up.
  • Download the UF VPN software at https://net-services.ufl.edu/provided-services/vpn/clients/ which walks you through the process. Note: You will need administrative rights to your device or have your IT/Computer services department help with the process.
  • Choose which operating system you have and follow the installation instructions (this is where administrator rights are needed). You will be redirected to the University of Florida AnyConnect VPN Clients page.
  • Once the VPN client is installed via this page, you must type “vpn.ufl.edu” in the “Connect To” dialog box. If you have any difficulties contact the UF Computing Help Desk at 352-392-4357 or via email at helpdesk@ufl.edu
    • PC Users: Once you’ve installed the VPN software, there will be an icon on the bottom task bar over near the date and time in the lower left hand corner. Click on it and in the pop-up box type ‘vpn.ufl.edu’ into the ‘Connect to’ area; then, click ‘Connect’. You will be asked to enter your Gatorlink credentials.
    • Mac Users: After you’ve installed the VPN software, go to the Applications File under Finder, click on the Cisco File, and then double click on the Cisco AnyConnect Secure Utility Client. The first time you connect you should enter vpn.ufl.edu, then you will have to enter your Gatorlink credentials.

3): Log into ENGINE (New ENGINE contacts only)

You will need to log into the ENGINE website to create a user profile in order to upload and download files to/from the website.
  • Log into the VPN software and proceed to: https://engine.eng.ufl.edu/participate/institutions/upload-student-data/
  • This will bring up a log in screen where you will login with your Gatorlink username and password
  • Your user profile will automatically be created when you log into ENGINE the first time
  • Successfully logging in will take you to a page like this:

4): Notify UF Staff (New ENGINE contacts only)

After you have logged into the website, please email Krista Smith at kristasmith@ufl.edu so she can create your ENGINE profile and give you the requisite access. You will receive an email confirming your profile is set up to upload your data.

5): Upload Student Data – August 11 to August 27, 2025

There are now two methods for uploading student data. Please choose ONE of the following:

Traditional Upload Method

  • Log into the VPN (Cisco AnyConnect Secure Utility Client) and log into ENGINE at eng.ufl.edu/wp-admin/ which will direct you to the dashboard.
  • Go to the ENGINE site by clicking the ENGINE button on the top left of your screen. Navigate to the Student Data Upload Form or select this link: https://engine.eng.ufl.edu/participate/institutions/upload-student-data/
  • You should then be on a webpage that looks like the one below where you will select Browse under the Upload Load Your File section.
  • Select the ENGINE file from your computer and please make sure the file is titled with your institution name. Once the file is selected, uploaded, and submit is selected on the form above, your screen should look like the image below.

Dropbox Upload Method

  • Email Krista Smith (kristasmith@eng.ufl.edu) to request access to the ENGINE Dropbox folder.
  • Name your ENGINE data file as your institution name.
  • Upload or drag and drop your file to Dropbox.
  • Email Krista Smith (kristasmith@eng.ufl.edu) immediately after uploading your file.

6): Download ENGINE Database File – September 3 to September 30, 2025

There are now two methods for downloading the ENGINE database. Please choose ONE of the following:

Traditional Download Method

  • Log into the VPN (Cisco AnyConnect Secure Utility Client) and log into ENGINE at eng.ufl.edu/wp-admin/ which will direct you to the dashboard.
  • Go to https://engine.eng.ufl.edu/participate/institutions/download-student-data/ to download the ENGINE database.
  • Select the orange Download Database button. You will have the option to save or view the ENGINE database file.
  • A second ENGINE file will be available for those who opted for the optional Master’s student data collection.

Dropbox Download Method

  • Email Krista Smith (kristasmith@eng.ufl.edu) to request temporary access to the ENGINE Dropbox folder.
  • Krista will upload the ENGINE file(s) as appropriate and notify you via email with the Dropbox link. The ENGINE file(s) will be accessible for 2 hours after Krista emails you the link.
  • Click on the Dropbox link and download the ENGINE file(s) to your computer.
  • Save the file(s) in a secure location.
  • Email Krista Smith (kristasmith@eng.ufl.edu) once you have downloaded the file(s).

Troubleshooting Tips:

If you try to log into the ENGINE website and you get an error message please try the following:

  • Make sure you are logged into the VPN
  • Clear your cookies/history in the web browser you are using.
  • Seek assistance from your university IT staff
